Modern teams rely on digital tools to get work done, but when the tech stack grows too large, productivity starts to slip. To better understand how tool overload affects knowledge workers, Lokalise surveyed 1,000 U.S. white-collar professionals across 11 industries whose jobs rely on digital tools. The results reveal just how much context switching, notifications, and redundant platforms cost teams in time, focus, and well-being.

Key takeaways

  • Nearly 4 in 5 employees (79%) say their company hasn’t taken steps to reduce tool fatigue or consolidate platforms.
  • Nearly 1 in 5 workers (17%) switch between tabs, apps, or platforms more than 100 times in a single workday.
  • More than 1 in 5 workers (22%) lose 2+ hours each week to tool fatigue, adding up to over 100 hours, or 2.5 workweeks, wasted every year.
  • On average, workers lose an average of 51 minutes per week to tool fatigue, adding up to over 44 hours of lost time per year.
  • Over half of workers (56%) say tool fatigue, like toggling, alerts, and redundant platforms, negatively affects their work each week.

Which workplace tools drain the most time and energy?

Workers are logging into multiple platforms every day, and the constant switching comes at a steep cost. From endless alerts to duplicate tools, these distractions chip away at focus and productivity.

a1 Time

  • Workers switch between tabs, apps, or platforms an average of 33 times per day, with 17% switching more than 100 times.
  • Nearly 1 in 2 workers (45%) feel overwhelmed by alerts, pings, or notifications from their digital tools.
  • On average, workers lose an average of 51 minutes per week to tool fatigue, adding up to over 44 hours of lost time per year; 22% lose 2 or more hours per week.
  • Nearly 1 in 20 employees log into over 10 different platforms daily, a small but meaningful group that may face higher digital fatigue.

Here are the top 10 tools or platforms that workers say create the most friction or wasted time:

  1. Outlook – 35%
  2. Microsoft Teams – 29%
  3. Gmail – 24%
  4. Zoom – 15%
  5. Outlook Calendar – 12%
  6. Google Drive – 10%
  7. Google Calendar – 10%
  8. Slack – 9%
  9. ChatGPT – 8%
  10. SharePoint – 7%

Time lost to tool fatigue by platform type

Survey respondents estimated how many minutes they lose each week to tool fatigue and identified which types of tools create the most friction. The chart below shows the average weekly time lost by tool category.

How tool fatigue impacts well-being and work-life balance

The toll of software sprawl isn’t just about lost hours. Constant pings and expectations to stay connected blur the line between work and personal time, leaving many employees drained.

a2 Collaboration

  • 3 in 5 workers (60%) feel pressured to respond to digital notifications immediately, even outside of working hours.
  • Over half of workers (56%) say tool fatigue, like toggling, alerts, and redundant platforms, negatively affects their work each week.
  • Nearly 4 in 5 employees (79%) say their company hasn’t taken steps to reduce tool fatigue or consolidate platforms.

Industries most affected by tool fatigue:

  1. Tech
  2. Hospitality
  3. Manufacturing/Logistics
  4. Healthcare
  5. Finance

Turning insights into action

Tool overload is a strategic risk for any company. When workers lose over 44 hours a year to unnecessary switching between platforms, that loss scales across entire teams and departments.

For CTOs and engineering managers, the takeaway is simple: Streamlining tools is as critical as scaling infrastructure. For operations managers, reducing tool fatigue means reclaiming focus and protecting employee well-being. And for procurement teams, consolidating tools translates directly into cost savings and better vendor management.

The bottom line here is that less is more. By reducing tool sprawl and focusing on platforms that truly add value, leaders can unlock flow, reduce stress, and give teams the time they need to innovate and perform at their best.

Methodology

For this study, we surveyed 1,000 knowledge workers across 11 industries in the United States to investigate how modern software overload is eroding productivity. Participants’ average age was 41; 51% were female, 48% were male, and 1% were non-binary. Generationally, 31% were baby boomers and Gen X combined, 53% were millennials, and 16% were Gen Z.
